Description

 

  • Secretarial support to Director and Managers:
    • Arrange for meeting rooms & teleconference (if necessary)
    • Arrange for overseas travel, accommodation and ticketing.
    • Assist in staff travel arrangement within KL offices
  • Staff Travels
    • For visitors coming to Malaysia, arrange for accommodation, transportation (if necessary)
    • For staff visiting HQ, liaise with HQ for travel arrangement & ticketing (if necessary)
  • Office Maintenance
    • Manage the inventory level of office equipment, stationery, files, beverages, water etc to ensure availability at all times.
    • Liaise with office building management for maintenance related matters
    • Administer door access.
    • Supervise cleaner to ensure office cleanliness
    • Track & monitor office lease
  • Procurement
    • The point of contact for the procurement team & staff with regards to procurement matters.
    • Arrange payments to all the service providers like management office bills, utilitiy bills, cleaner’s bills, telecommunication bills etc
  • Receptionist
    • Manage the visitors and coordinate with staff when visitors arrived
    • Manage all incoming calls to the general line
    • Handle all incoming and outgoing mails and documents, liaise with courier services & office boys accordingly
  • Staff Claims
    • Consolidate and handle staff SSE claims, Allowance Claims, payment request.
    • Check all claims to ensure it is within company’s guideline
  • Staff Movements
    • Monitor staff movement I terms of leave and travel plans and provide updates.
    • Track staff’s leave matters
    • Update Department List
  • Administration
    • Update staff/resources contact.
    • Provide admin support.
Requirements
  • Diploma in any discipline
  • Knowledge of Microsoft Office (Word, Excel and Powerpoint)
  • Able to commence immediately
  • Able to multi task and work under stress
  • Able to work under minimum supervision
